As the year winds down, it’s easy to get swept up in holiday plans, last-minute projects, and the rush to meet year-end goals. But for MSPs using ConnectWise PSA year-end checklist, skipping or delaying these essential steps could mean trouble as you step into the new year. Time entry errors, holiday scheduling mishaps, and billing hiccups can derail your workflows and impact SLAs.

1. Set Up Time and Expense Periods

If your time and expense periods aren’t configured for the new year, your team won’t be able to enter time or expenses.

  • Navigate to System > Setup Tables > Time & Expense > Time Period Setup Table.
  • Review existing time periods or set up new ones.
  • Tip: If you receive the error message ‘saving this time period will result in overlapping records,’ it means the previous and new periods are conflicting, often due to a change in Time Period Type. Ensure the start date of the new period is after the end date of the previous period to resolve the issue.

2. Update Mileage Reimbursement Rates

Mileage rates may change in the new year, and you don’t want your expense reports reflecting outdated amounts.

  • Go to System > Setup Tables > Expense Category > Expense Type Setup Table.
  • Update the mileage rate effective on the appropriate date.

3. Configure Maximum Expense Amounts

If you’ve set thresholds for certain expense types, review and update them to avoid unexpected overages slipping through.

  • Head to System > Setup Tables > Expense Category > Expense Type Setup Table.
  • Add or update the Expense Max Amt for any relevant types.

4. Update Your Holiday Calendar

The ConnectWise PSA year-end checklist wouldn’t be complete without updating your holidays. This is critical for ensuring holidays are properly scheduled and reflected in SLA calculations. Missing this step could mean technicians get scheduled for days off, or worse, SLAs get breached.

  • Create a new holiday list under System > Setup Tables > General Category > Holiday Setup Table.
  • Alternatively, copy and modify your existing holiday list to save time.
  • Note: After updating, apply the new holiday list to your calendars under Calendar Setup Table.

5. Verify and Update Your Office Hours Calendar

Alongside your holiday list, ensure your office hours are configured correctly for the new year. Misconfigured hours can lead to scheduling errors and miscommunication.

  • Go to System > Setup Tables > General Category > Calendar Setup Table.
  • Update office hours and link your updated holiday calendar.

6. Set Sales Quotas for the New Year

If you track sales goals within ConnectWise PSA, make sure quotas are ready to go for your team.

  • Navigate to System > Setup Table > Opportunities Category > Sales Quotas Setup Table.
  • Add new quotas for your team members, updating monthly revenue and margin targets.

Why This Matters

Skipping these procedures can cause a cascade of issues:

  • Time entry errors that disrupt payroll or reporting.
  • Unscheduled holidays that impact SLA performance.
  • Incorrect expense reporting that frustrates your team and clients.

Completing these steps now ensures a smooth transition into the new year and keeps your team focused on delivering exceptional service instead of fixing preventable issues.
